Program Associate – Chapel Hill – Filled

AVANT is currently recruiting for a Program Associate for a full-time, temporary-to-hire position in Chapel Hill.

The right candidate for this position:

  • Plans, coordinates, and manages participant and guest logistics (e.g., transportation, hotel accommodations, off-site meals, any meal vouchers, and travel money cards).
  • Prepares and distributes materials, including hotel welcome packets, binders, and name tags/name tents in order to communicate information to constituents.
  • Maintains participant area of the program website.
    Provides necessary information on program speakers, instructors and advisors; teaching/advising sessions; and pay rates to so that faculty contracts may be produced in a timely manner.
  • Distributes program marketing material to potential participants and sponsors, or to other parties at the Program Director’s request.
    Tracks, manages, and distributes incoming participant registration information.
  • Manages program inventory and supplies (e.g., shirts, binders, course materials) as well as their distribution to participants as appropriate.
  • Acts as a liaison with program speakers and instructors by communicating to them logistics and participant information, and collecting from them any course materials for subsequent distribution to participants.
  • Creates itineraries for distinguished visitors at program activities.
  • Acts as on-site staff coordinator during program events, including setting up classrooms, collecting evaluations, and managing any meal vouchers and other duties as required.
  • Addresses special requests from participants, speakers, instructors, and official guests during program.
  • Coordinates the post-program shipment of participant materials, including electronic copies of course materials.
  • Archives electronic and hard-copy program materials, including but not limited to participant binders, electronic copies of materials, any additional participant information, schedules, evaluations, and participant biographies.
  • Sends program binder and any other relevant materials to the sponsoring organization, as required.
  • Aggregates and reviews in-program and post-program evaluations of faculty and content.
  • Processes speaker/faculty invoices by preparing and submitting check requests for reimbursement.
  • Responds effectively to information requests from alumni.
  • Responds to general program inquiries.
  • Provides administrative support to program director as needed.

Customer Service Representative – Wake Forest

AVANT is recruiting for an experienced Customer Service Representative to work with a growing company in Wake Forest, NC.  The position is responsible for servicing and retaining new and existing benefits insurance accounts and referring potential business to other departments and affiliates. The selected candidate will support producer(s) in managing renewals and new sales by preparing quotes and proposals, and serve as the primary point of contact for all client inquiries.
Essential Functions:

  • Respond to customer and insurance company inquiries in a timely manner via telephone and email and record communications using Applied software.
  • Use encrypted software to send email containing sensitive or protected information.
  • Quote and re-market benefits insurance policies using internet based systems.
  • Prepare accurate, organized quotes and proposals for renewals and prospective business.
  • Maintain vendor/carrier relationships and stay current with their benefits plans.
  • Ensure the proper placement of requested coverage and document all transactions using Applied software.
  • Ensure that insurance coverage is underwritten to at least agency minimum standards and consistent with the standard operating procedures for all new policies.
  • Correspond with clients and insurance carriers to obtain information and/or inform them of account status or changes.
  • Analyze information from clients, original insurance applications, and other company documents to determine if changes are needed and effects of changes.
  • Accurately process and record new insurance policies and changes according to agency procedures.
  • Accurately modify, update, and process existing policies and claims to reflect any change in beneficiary, amount of coverage, or type of insurance.
  • Organize and maintain detailed records for each client using Applied software.
  • Review and verify data, such demographics, coverage, and premiums on insurance applications and policies.
  • Additional Responsibilities:
  • Answer office telephones, greet visitors, and perform various administrative duties including mailing, faxing, copying, etc.
  • Other duties and special projects as assigned.

 

Sales/Marketing:

  • Refer potential business to other departments and affiliates.
  • Round out accounts and cross sell in order to offer greatest level of protection to each client.
